Instructions for Users of this online system

HDR Candidates - due by 24 December 2016

  1. Before completing your report, arrange a mutually convenient time with your Principal/Acting Supervisor to review progress during the past year and to discuss the progression plan for work to be completed in the next twelve months.
  2. Discuss the annual progress review with your Supervisor prior to completing the report, preferably in person. However by email or telephone or web if face-to-face contact is not possible is also acceptable.
  3. To help you prepare for completion of the online Annual Progress Report the questions that you will be presented with are available for review at the following link;http://www.hdr.mq.edu.au/information_for/current_candidates/annual_progress_report.
  4. Log in to HDRO Annual Progress Report Online System to the left hand side of this screen using your Student ID and your ONEID password to access the system. If you experience any difficulty with login issued please contact IT Help Desk directly on 02 9850 4357
  5. Go to the left hand menu and click on 'To complete APR'. Complete your part of the Annual Progress Report by answering the questions. Make sure you click 'Click Here' whenever you see this prompt. This will ensure that the information you have entered will be saved.
  6. If you are unsure of any aspect of this process, you can SAVE your answers as a draft, and return at a later time after you have sought clarification.
  7. If you SUBMIT your answers as final, your responses will be 'LOCKED' from further editing. If you have submitted your report successfully, you will receive a system-generated email confirmation.
  8. A system-generated email will also be sent to your Principal/Acting Supervisor for completion of their section in your report.
  9. When the Annual Progress Report process has been completed, and your report has been signed off by the Faculty Associate Dean (HDR), you will be advised by a system-generated email and then be able to download the completed document as a PDF document by clicking on 'Print finalised APR' on the left hand menu. Save a copy for your record. Note: A copy of your APR is required for PGRF application so make sure that you retain a copy.

Principal/Acting Supervisors– due by 28 November 2016

  1. You will receive an email to advise that an Annual Progress Report has been completed by one of your candidates online.
  2. Log in to HDRO Annual Progress Report Online System using your Staff ID with a 'MQ' prefix, e.g. "MQ12345678"; use your ONEID password to access the system.
    Note: 'MQ' must be in upper case and there must not be a space between 'MQ' and your staff ID.
  3. You will see a number of options on the left hand menu. Click on 'Candidates to be reviewed' and then select the candidate whose report you wish to complete. The 'STUDENT STATUS' column will show the list of candidates who have completed their report.
  4. When a candidate is selected, review the candidate's responses.
  5. Complete your part of the Annual Progress Report by answering the questions in Part C. Either save your answers as a draft to finish later or submit your answers as final.
  6. If you SUBMIT your answers as final, your responses will be 'LOCKED' from further editing. However following review by the Departmental Director HDR, a different recommendation can be made by the Director to the Faculty Associate Dean HDR.
  7. A system-generated email will be sent to the Departmental Director HDR for completion of the next part of the process.
  8. When the Annual Progress Report is signed off by the Faculty Associate Dean HDR, you will be advised by a system-generated email and then be able to download the completed document as a PDF. Click on 'Candidates to be reviewed' on the left hand menu, select the candidate whose finalised report you wish to view, click 'Print PDF' in the top right-hand corner of your screen to Save/Print a copy for your record.

Departmental HDR Director – due by 5 December 2016

  1. You will receive an email to advise that an Annual Progress Report has been completed by a candidate and Supervisor online. The Supervisor will have made a recommendation about the Annual Progress Report result for your consideration.
  2. Log in to HDRO Annual Progress Report Online System using your Staff ID with a 'MQ' prefix, e.g. "MQ12345678"; use your ONEID as your password to access the system. Note: 'MQ' must be in upper case and there must not be a space between 'MQ' and your staff ID.
  3. On the left hand menu, you will see a list of candidates in your department whose Supervisor's recommendation is either "Satisfactory", "Reviewed by the department", "Reviewed by the faculty" or "Formal Review". You can also view a 'List of Candidates' in your department and whose Annual Progress Report is still incomplete.
  4. Click on 'Candidates pending sign off'. Review and validate the recommendation of the Supervisor for each candidate as appropriate, or discuss the recommendation with the Supervisor and then validate. You may add a comment to the report at this stage.
  5. Finalise your recommendation. Your responses will be 'LOCKED' from further editing once you click 'SUBMIT'. Following further review, a final recommendation will be made by the Faculty Associate Dean HDR.
  6. Follow up with the Supervisor(s) and/or Faculty HDR Manager for any incomplete APR.

Faculty Associate Dean (HDR) – due by 12 December 2016

  1. The Departmental Director HDR will have made a recommendation about Annual Progress Report results for your consideration and confirmation, progressively from October 2016.
  2. Log in to HDRO Annual Progress Report Online System from time to time using your Staff ID with an 'MQ' prefix, e.g. "MQ12345678"; use your ONEID as your password to access the system. Note: 'MQ' must be in upper case and there must not be a space between 'MQ' and your staff ID.
  3. Click on 'Candidates pending sign off', review and validate the recommendation of the Departmental Director HDR for each candidate as appropriate, or discuss recommendation with the Director and then validate.
  4. Once a recommendation has been validated, it will be 'LOCKED' from further editing.

Faculty HDR Manager – progressively but no later than 19 December 2016

  1. You will be given access to the Online Annual Progress Report for candidates in your Faculty. Log in to HDRO Annual Progress Report Online System using your Staff ID with a 'MQ' prefix, e.g. "MQ12345678"; use your ONEID as your password to access the system. Note: 'MQ' must be in upper case and there must not be a space between 'MQ' and your staff ID.
  2. If a candidate is unable to complete the Annual Progress Report process online, provide the candidate with a hard copy of the form and seek their approval for you to log in and record the details forwarded in the hard copy.
  3. Click 'Fill in candidate's APR', enter student ID to access report. At the start of the report there is a 'Comment Box' where you can note that the responses in the report were entered by you as the candidate’s proxy. Enter your name and date at the end of the comment. Once completed, click 'SAVE' and 'SUBMIT', the report will then go through the normal route to the Supervisor for completion of their part of the report.
  4. Use the 'Comment Box' to record ADHDR's approval and the reason to exempt a candidate from completing an APR. Enter your name and date at the end of the comment. Click 'SUBMIT'
  5. When the Annual Progress Reports and the recommendations are finalised by the Faculty, candidates and Supervisors will be notified by a system-generated email that the results are now available for viewing and the reports for downloading. Candidates will be able to download the completed report in PDF format by clicking on 'Print finalised APR' from the left hand menu of their login screen.
  6. Follow up with candidates with respect to review outcomes and formal review determinations as appropriate.
  7. Monitor completion flow and follow up outstanding reports with candidates/supervisors/DD/AD as appropriate.
  8. To print a finalised APR, go to 'Completed APR' in the menu and select a candidate, click 'Print PDF' in the top right hand corner of your screen
